1. Who are we?

Ⅰ. We are part of the Panasonic i-PRO Sensing Solutions Company (hereinafter referred to as PIPS), headquartered in Fukuoka, Fukuoka Prefecture, Japan;

2. What is Personal Data?

For the purposes of this Privacy Notice "Personal Data" consists of any information that relates to you and/or information from which you can be identified, directly or indirectly.

For example, information which identifies you may consist of your name, address, company name.


3. What is Personal Data do we collect about you?

i-PRO Business Service Portal enables you to give us Personal Data directly.

When we create your account

When we create your account for i-PRO Business Service Portal, we ask you to provide certain Personal Data, including your name and email address. You will use your email address and your password to login to your account. Your account will be password-protected and we use your name to help verify your account when you contact us for assistance.

When you communicate with PIPS

When you contact us or interact with our customer support representatives via i-PRO Business Service Portal, we may collect Personal Data, such as your name, mailing address, phone number, email address and contact preferences; and we may also collect information about the PIPS products or devices you own, such as their serial numbers and date of purchase. We also may create logs/reports that are useful in diagnosing product or application performance related issues, and capture information relating to the issue. We use this information to provide you with customer and product support.

When you login to your account

When you login to your account for i-PRO Business Service Portal, we collect essential cookies.

Essential cookies

These cookies are essential to make our website work or to provide necessary functions relating to the services you request or to enable communications. They allow us to provide you with a seamless internet experience. We also use them for security purposes.


4. On which legal basis do we process Personal Data?

We are not allowed to process Personal Data if we cannot rely on a valid legal ground.

When we create your account / When you communicate with PIPS

We will only process your Personal Data when the processing is necessary to perform our contractual obligations towards you or to take pre-contractual steps at your request.

When you login to your account

We rely on our legitimate interests for processing Personal Data collected through our first-party essential cookies.


5. How do we use your Personal Data?

We may use the Personal Data we collect for the following purposes: 

Ⅰ. To provide our Services or any specific feature that you may request, including to enable us to fulfil our obligations under any contract with you.

Ⅱ. To notify you about changes to our service.
If you are an existing customer, we will only contact you by electronic means (e-mail) with information about goods and services similar to those which were the subject of a previous sale to you.

Ⅲ. To make our website work or to provide necessary functions relating to the services you request or to enable communications. They allow us to provide you with a seamless internet experience. We also use them for security purposes.


6. To whom do we disclose your information?

We will not disclose your Personal Data to third parties for their own independent marketing or business purposes without your consent.

However, we may disclose your information to the following entities: 

Ⅰ. PIPS Affiliates
We may disclose your Personal Data to other PIPS Affiliates to provide the Services you require or any other services/assistance you request. All PIPS Affiliates are required to follow the privacy practices set forth in this Privacy Notice, or such other privacy policy that they may notify to you.

Ⅱ. Service Providers
We use third party a service provider Power Media Inc. to develop/improve i-PRO Business Service Portal, and to maintain servers and system.
We may share Personal Data about you with the service provider for the purpose of enabling them to maintain i-PRO Business Service Portal.

Ⅲ. Third parties when required by Law or to Protect our Services
We will disclose your Personal Data to comply with applicable law or respond to valid legal process, including from law enforcement or other government agencies.


7. What do we do to keep your Personal Data secure?

We have put in place appropriate physical and technical measures to safeguard the Personal Data we collect in connection with i-PRO Business Service Portal. However, please note that although we take appropriate steps to protect your Personal Data, no website, product, device, online application or transmission of data, computer system or wireless connection is completely secure and therefore we cannot guarantee the security of your Personal Data.


International Transfer of Personal Data

The Personal Data that we collect from you is stored and processed in Australia where the service provider Atlassian Pty Ltd maintains facilities

By using or participating in any Service and/or providing us with your Personal Data, you agree to the collection, transfer, storage and processing of your information outside of the EEA. We will take all steps reasonably necessary to ensure that your Personal Data is kept secure and treated in accordance with this Privacy Notice and the requirements of applicable law wherever the data is located. Where we transfer your Personal Data outside the EEA to other countries, we will ensure that appropriate transfer agreements and mechanisms (such as the EU Model Clauses) are in place to help ensure that our third party service providers provide an adequate level of protection to your Personal Data. We will only transfer your Personal Data outside the EEA in accordance with applicable laws or where you have given us your consent to do so.

Encryption

All Personal Data you provide to us is stored on our secure servers. Where we have given you (or where you have chosen) a password that enables you to access certain Services, you are responsible for keeping this password confidential and we ask you not to share your password with anyone.

Other security measures

Information security, including the protection of Personal Data is organized in a global PIPS Program called “Information Security Management” (ISM). The aim, standards and implementation measures are organized in a globally valid Policy, standards and guidelines. All IT systems are externally assessed and fall under the regulation of ISO 27001 certification. The program and all its parts follow a strong yearly PDCA approach to secure the confidentiality, integrity and availability of all data for the whole information lifecycle from collection to destruction of such information.


8. Accessing your Personal Data and other rights you have?

We will collect, store and process your Personal Data in accordance with your rights under any applicable data protection laws.

Your rights under applicable data protection laws include, the right to access a copy of your Personal Data, the right to request the deletion or updating of any inaccurate Personal Data and the right to object, in some cases, to our processing of your Personal Data. Right to Withdraw Consent – where you have consented to our processing of your Personal Data, you have the right to withdraw such consent at any time. In the event you wish to withdraw your consent to processing, please contact us using the details given at the end of this Privacy Notice.

Enforcing your rights

If you wish to enforce any of your rights under applicable data protection laws, then please contact us using the details given at the end of this Privacy Notice. We will respond to your request without undue delay and by no later than one month from receipt of any such request, unless a longer period is permitted by applicable data protection laws, and we may charge a reasonable fee for dealing with your request which we will notify to you. Please note that we will only charge a fee where we are permitted to do so by applicable data protection laws.

Complaints

If you are not satisfied with how we process your Personal Data, you may also file a complaint with the competent supervisory authority, in addition to your rights outlined above.


9. Data Retention – How long we will store/keep your Personal Data

We will retain your Personal Data for the period necessary to fulfil the purposes for which your Personal Data has been collected as outlined in this Privacy Notice unless a longer retention period is required by law. When your Personal Data is no longer required for the purpose it was collected or as required by applicable law, it will be deleted and/or returned to you in accordance with applicable law.


10. Third-Party Links and Products on Our Services

i-PRO Business Service Portal may contain links to other third party websites that are not operated by PIPS, and our websites. These linked sites and applications are not under PIPS's control and as such, we are not responsible for the privacy practices or the content of any linked websites and online applications. If you choose to use any third party websites or applications, any Personal Data collected by the third party’s website or application will be controlled by the privacy policy of that third party. We strongly recommend that you take the time to review the privacy policies of any third parties to which you provide Personal Data.

11. Cookies

A. What are cookies?

PIPS, as well as certain other third parties that provide content, advertising, or other functionality on our Services, may use cookies and other technologies in certain areas of our Services. Cookies are small text files which may be placed on your device when visiting our website. It can be read by the web server which put the cookie on your hard drive. We may use cookies to store your preferences and settings, help you with signing in, provide targeted advertisement and to analyze your browsing experience on our website.

Please note that you can modify your browser so that it notifies you when cookies are sent to it. If you do not want to receive cookies, you may also refuse cookies altogether by activating the relevant settings on your browser. Please note that if you choose to refuse all the cookies, some features of the Services may not be accessible to you or not work properly. 12. Changes to this Privacy Notice

It also is important that you check back often for updates to the Privacy Notice, as we may change this Privacy Notice from time to time. The “Date last updated” legend at the bottom of this page states when the policy was last updated and any changes will become effective upon our posting of the revised Privacy Notice.

We will provide notice to you if these changes are material and, where required by applicable law, we will obtain your consent. We will provide this notice by email or by posting notice of the changes on this website.
